HVAC / Missed-call recovery
The call was missed.
The handoff still matters.
A missed call is an entry point into intake. The next step is to establish what is known and prepare the right follow-up for your team.
A phone number is not a qualified request.
Use a voicemail or other available context when the workflow has access to it. If all you have is a missed-call event, keep the service need, urgency and location marked as unknown.
- Capture what is available
- Keep the call event and contact information together, subject to the connected system’s access.
- Make the gaps visible
- Flag the service type, location or timing that still needs to be established.
- Prepare the callback
- Recommend who should call back and what they need to ask, using your agreed rules.
Start with the callback your team would choose.
In shadow mode, compare the suggested callback or clarification with the front office’s actual decision. No automatic callback, text or booking is enabled during that comparison.
If follow-up actions are later enabled, scope them to the reviewed scenarios, approved channels and clear handoff rules.
Keep recovery connected to the rest of intake.
Once the customer’s needs are established, the request follows the same qualification and scheduling review as any other inbound lead. A recovered conversation is not a guaranteed booking.
